Customizing Statement & Entry Descriptions in Ascend

Ascend allows you to customize the descriptions that are sent to your AMS when statements and entries are posted. These descriptions can help your team more easily identify and search for records within your AMS.

To update your description format, review the available variables below and contact the Ascend team with your preferred format. Variables can be combined with static text to create the format that works best for your team.


What Are Descriptions?

When a statement is posted to your AMS, it includes a statement description and an entry description. Both can be customized using variables — placeholders that automatically populate with real information when a statement is processed.


How Formats Work

Variables follow this format: {variable_name}

You can mix variables with plain text. For example:

{payer_short_code} - {posting_date} would produce ACME - 2026-07-01


Statement Description Variables

Statement descriptions determine the payment description sent to your AMS when a statement is posted.

You can test changes to your statement description format by clicking Post to AMS on a statement and reviewing the payment description before completing the post.

Start date of the accounting period

Date the statement was posted

Receipt-related variables are available only for customers using Applied Epic and Ascend Cash Application.


Entry Descriptions

Entry description customization is available for Applied Epic only.

Entry descriptions determine the description associated with individual entries when they are posted to Epic.
